BuildTrack Pro LLC (“BuildTrack Pro,” “we,” “us,” or “our”) operates the BuildTrack Pro construction management platform, including the website at buildtrackpro.app and the BuildTrack Pro mobile application (collectively, the “Service”). This Privacy Policy describes how we collect, use, and share your information.

1. Information We Collect

Account Information: When you create an account, we collect your name, email address, company name, and password.

Project Data: Information you enter about your construction projects, including project names, addresses, client information, financial data (contract values, invoices, expenses), schedules, daily logs, change orders, specifications, punch lists, and RFIs.

Photos & Documents: Images and files you upload to the Service, including site photos, receipts, plans, and documents.

Usage Data: We automatically collect information about how you interact with the Service, including IP address, browser type, device information, and pages visited.

Payment Information: If you subscribe to a paid plan, payment processing is handled by Stripe. We do not store your credit card numbers.

2. How We Use Your Information

  • To provide, maintain, and improve the Service
  • To process your transactions and send related information
  • To send transactional emails (invoices, change order notifications, invite emails)
  • To use AI features (receipt scanning, project assistant) — your data is processed by our AI provider (Anthropic) and is not used to train AI models
  • To detect, prevent, and address technical issues and security threats
  • To respond to your requests and support inquiries

3. How We Share Your Information

We do not sell your personal information. We share data only with:

  • Service Providers: Cloudinary (photo storage), Stripe (payments), Neon (database hosting), Anthropic (AI processing), Resend (transactional email), Vercel (web hosting), Expo/Apple (mobile app distribution)
  • Your Organization: Data you enter is shared with other members of your organization on BuildTrack Pro as determined by your admin
  • Your Clients & Subcontractors: Information you choose to share through the client portal or subcontractor portal
  • Legal Requirements: If required by law, court order, or governmental regulation

4. Data Storage & Security

Your data is stored on servers in the United States. We use industry-standard encryption (TLS/SSL), secure authentication, and access controls to protect your data. Photos are stored on Cloudinary with encrypted transfer. Database is hosted on Neon with encryption at rest.

5. Data Retention

We retain your data for as long as your account is active. If you cancel your subscription, your data is retained for 90 days and then permanently deleted. You may request earlier deletion by contacting us.

6. Your Rights

California Residents (CCPA): You have the right to know what personal information we collect, request deletion of your data, and opt out of the sale of personal information (we do not sell personal information). To exercise these rights, contact us at legal@buildtrackpro.app.

All Users: You may access, update, or delete your account information at any time through your account settings. You may export your project data through the backup feature.

7. Children’s Privacy

The Service is not directed to children under 13. We do not knowingly collect information from children under 13.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Service and updating the “Last updated” date.
